How to Setup a Business Central External Accountant License

Accounting is a critical function regardless of business size. Microsoft Dynamics 365 Business Central's advanced financial capability sets out to improve critical accounting functionality by improving accounting practices and granting internal or external accountants access to your financial data from anywhere. In this article I'm going to show you how setup a Business Central external accountant license.


Prerequisites


You'll need to be using Business Central cloud and have your Microsoft partner add one of the free external accountants licenses to your subscription. You'll also have to be the Global Admin in your Microsoft 365 (Office 365) account. Additionally, the external accountant's email address must be a work address based on Azure. Yahoo, Hotmail, Gmail, and other popular accounts will not work.


Invite the Business Central External Accountant


Step 1: Search for users and select the user link.

Step 2: On the users page select Process and then select Invite External Accountant to open up the setup guide.

Step 3: Select Accept if you are willing to share your data and choose Next.

Step 4: Enter the accountant's name and email address. You can also choose to edit the Welcome Email. Once you've finished entering and editing the information select Next to send the invitation.

Step 5: Your accountant has now been invited to have access to your Business Central database. Upon receiving the invite they must use the link in the email to access Business Central.


Step 6: Once the invitation has been accepted you now have to go back into the User Page, select processes, select update users from Microsoft 365, and follow the onscreen instructions.

This process will bring the newly created user into your Business Central


Step 7: Add the proper security to your external accountant's user in Business Central. If you are unfamiliar with Business Central's security measures please contact us or your Microsoft partner.
